Quick Answer

Why Is Zapier So Expensive?

Short answer: Zapier bills per task, not per workflow, and every completed action step in a Zap counts as a task. A busy multi-step Zap can use several tasks per run, so the bill grows with volume. Paid plans start at $19.99 per month (billed annually) for 750 tasks, and 10,000 tasks costs about $129 per month billed annually or $193.50 billed monthly.

The four things that drive the price up:

  • Per-task billing. Zapier counts a task when a Zap successfully moves data or completes an action. Trigger checks are free, but each action step after the trigger is billed.
  • Multi-step Zaps multiply usage. A Zap with a trigger and four actions can use four tasks every time it runs, so 2,500 runs a month can mean 10,000 tasks.
  • Monthly billing costs about 50% more. At 10,000 tasks, $193.50 monthly versus $129 annual. Zapier advertises roughly 33% savings for paying yearly.
  • Overages and pauses. Going over your limit can trigger higher pay-per-task rates, and Zaps can pause entirely at around three times your plan limit.

How to pay less: switch to annual billing, add filters early so Zaps stop before they spend tasks, and combine steps where you can. Key Pricing Reality

Zapier's published prices are for the base task tier. If you need 10,000 tasks, you're automatically pushed to either Professional (10k, $129/mo (annual billing)) or Team (10k, $169/mo billed annually). There's no flexibility to buy extra tasks on a lower plan — you must upgrade.

Task Overage Cost

On Professional, exceeding your task limit costs $0.13 per additional task block (20 tasks) in most regions. That means 500 overage tasks cost ~$3.25 extra — manageable, but unpredictable. Team plans have a higher per-block rate. Enterprise is negotiated.

What They Don't Tell You

Hidden Costs (& Gotchas)

Premium Apps Need a Paid Plan

On Zapier's Free plan you cannot use premium apps. Professional and above include them, which removes the old per-plan premium app caps. Popular premium apps include Salesforce, HubSpot, QuickBooks, Shopify, Xero, and Jira. The real cost now is task volume rather than app access: a business that needs HubSpot, Shopify and QuickBooks moves to a paid plan, then pays more as tasks grow.

Update Time Limits

On the Free plan, Zaps update every 15 minutes. That means up to a 15-minute delay between a trigger event and the action executing. For e-commerce inventory updates, lead notifications, or customer support tickets, this delay can cause real problems. Professional gets 2-minute intervals, which is adequate for most businesses. Team and Enterprise can go to 1 minute. If you need real-time automation, you're paying for at least Professional.

Task Overage & Billing Surprises

Zapier's task counting differs from what most users expect. A single Zap can consume multiple tasks per run — one for each completed action step (trigger checks are not billed). A Zap with three action steps that runs 100 times can count as 300 tasks. Combine this with monthly spikes (Black Friday, product launches), and you can blow through your task limit without warning. Monitor your usage dashboard weekly.

No Local / Self-Hosted Option

Zapier is entirely cloud-based. There is no self-hosted option, no air-gapped deployment, and no offline mode. If your business requires data sovereignty, compliance (HIPAA, SOC 2 Type II), or operates in areas with unreliable internet, Zapier simply won't work. Competitors like n8n and Activepieces offer self-hosted deployments with full data control at a fraction of the cost.
